The Brief

DGT Services holds contracts with multiple NHS wheelchair services across Essex to store, recondition and manage wheelchair stock on their behalf. When the project began, the whole operation ran on paper — stock in manual log books, inspection and reconditioning records on physical forms — and NHS services had no way of knowing how many chairs DGT was holding for them without arranging a physical stock count.

The reconditioning process was involved: different pathways for manual and powered wheelchairs, and chairs categorised for immediate reconditioning (CAT A), held until allocated (CAT B) or scrapped (CAT C), each with its own batch process, inspection checks and formal sign-off. DGT needed the entire workflow digitised — from a chair arriving at the warehouse through reconditioning, allocation and delivery — with secure online access for NHS service staff to see the stock held on their behalf, all kept in step in real time.

What we did

We built a central web application, backed by a single database, that DGT staff and NHS service staff work in side by side — each user’s access scoped to the services and actions their role allows. DGT staff manage the full lifecycle of every chair: entering new stock, categorising and reconditioning it in batches, recording allocations, and updating statuses as chairs move through the system.

The reconditioning workflow was digitised as structured batches — categorisation, then manual or powered inspection — mirroring DGT’s existing paper process. Each batch generates a printable PDF sign-off sheet, and once it is signed off the relevant NHS service is notified by email, keeping the digital record and the physical paperwork in step.

For NHS services, the system gives a secure, per-service view of the wheelchairs held on their behalf — filterable by status and accurate in real time, so an up-to-date stock count is available at any moment without a warehouse visit. Where a service uses manufacturer-owned consignment stock, staff can order chairs held in DGT’s warehouse and have them purchased only at the point of allocation.

On the warehouse floor, GS1 barcode labels are printed to physical tags through a dedicated Windows print service, and the same barcodes scan straight back into the system to locate a chair or accessory. Rounding it out are management, KPI and valuation reports — including a stock-valuation model built in collaboration with the NHS — giving DGT and its NHS services a clear view of activity and stock value.

Central Stock System

Reconditioning Batches & Sign-Off

Categorisation and inspection batches for both manual and powered wheelchairs, each producing a printable PDF sign-off sheet and an automatic email to the NHS service once signed off.

Secure Per-Service NHS Access

Each NHS service signs in to a view scoped to its own stock, with role-based permissions controlling exactly what staff can see, request and do.

Consignment Stock Ordering

Manages manufacturer-owned stock held in DGT's warehouse, letting NHS services order chairs and have them purchased only at the point they are allocated to a client.

GS1 Barcode Label Printing

A dedicated Windows print service prints GS1 barcode tags on the warehouse floor, and the same barcodes scan straight back into the system to locate any chair or accessory.

Reporting & Stock Valuation

Management, KPI and delivery reports, plus a stock-valuation model developed with the NHS to value reconditioned stock against agreed depreciation rules.

We approached Michael and the team at Enovate Design to develop a Web-based Stock Management system for us, that could also be accessed by our customers at NHS Wheelchair Services.

In spite of the complexities, limitations and difficulties within the industry, Michael quickly understood our needs here at DGT Services along with those of our customers. The system did take considerable work and detail because of the different layers and variables required. In a most professional, yet relaxed and friendly way, Michael ensured that every aspect was covered. Nothing was ever too difficult and a solution to any hurdle was always found. His manner is calm and mature, yet also genuine, motivated and enthusiastic, with a "can-do" approach to any obstacle.

The result has been the production of a dynamic Web-based Stock system that is now integral to our processes and those of our customers. It is already valued and highly praised by our customers. Enovate Design have also assisted us to include this within our marketing.
